On-line enrollment: Participants may enroll on-line via our official website, and settle the required payment on-line by credit card at the same time. Participants who choose other payment methods should settle the required payment within one week after registration.
By fax / post or in-person: Complete the enrollment form and payment form and send them to the office of Sowers Action together with a cheque or cash deposit slip. Only payment methods mentioned in the payment form will be accepted. Cash or post-dated cheque will not be accepted.
Completed sponsorship form can be submitted together with the enrollment form, or submitted later. Please make sure the sponsorship matches the amount paid. Additional sponsorship forms can be submitted by fax, post, in-person, or by email to ch12@sowers.org.hk.

Please make copies of the enrollment and sponsorship forms for use. Receipts will only be issued after the sponsorship form with name(s) of sponsor(s) received by Sowers Action. If participants fail to submit the sponsorship forms before 31st December 2011, “Sponsor (Name of participant) participating in Sowers Action Challenging 12 Hours 2011” will be used in the receipt instead.

I/We, the undersigned, wish to participate in this event organized by Sowers Action (the Organizer). I/We jointly and severally confirm and agree that I/we shall comply with all relevant rules & regulations and other ad-hoc arrangements made by the Organizer.
I/We, the undersigned, declared that I/we take part in this event entirely at my/our own risks and that I/we shall not hold the Organizer, or any sponsors / supporting organizations, responsible for any accident of whatsoever kind, resulting in death or injury, or for any damage to, loss or destruction of personal properties during the course of this event.
In case I/We withdraw from this event of my/our own accord or I am/we are disqualified by the Organizer because of my/our failure to reach the specified location within the time limits specified by the Organizer, I/we shall arrange my/our transportation to leave the venue. I/We also agree to indemnify or reimburse the Organizer in respect of any additional expenses or costs incurred by the Organizer arising from or in connection with my/our participation in this event.
I/We, the undersigned, jointly and severally undertake that all funds raised directly or indirectly by my/our participation in this event will be paid in full to the Sowers Action. I/We will not raise funds for other charities by participating in this event.
I/We, the undersigned, hereby acknowledge and agree that the Organizer may (without reference to, and without the prior approval of, or any payment to, any person) use, in any publicity material connected with this event (including but not limited to any of this event and the Organizer's websites) or in connection with any of the Organizer's promotional or fundraising activities, any photograph, film, videotape, record or other reproduction of the image and/or voice of me, my teammates or members of my support team who take part in this event and its related activities.
Remarks:
(i) All participants of events organized by the Organizer must agree and sign the Disclaimer and Indemnity. The Disclaimer and Indemnity will be sent to the participants by post, all participants must sign and return it to the Organizer in designated method and time.
(ii) Event period includes but not limited to major event days, introductory meeting, material collection, training, fund raising, trophy presentation and celebration.
(iii) (iv) The Chinese version of this Disclaimer and Indemnity has precedence over other versions. The Organizer has all the rights to interpret and amend such documents.
Enrollments Details and Requirements
Each person can only participate in ONE division. The Organizer reserves the right to close entries before the deadline without prior notice. Enrollment is accepted on a first come first served basis;
Each team must consist of 4 members regardless of their gender for 42KM & 10KM.
Participants in 42 KM must be 18 years old or above on or before 6th November, 2011. The maximum number of participants is 1,700 (including 250 for Elite Cup).
Participants in 10 KM must be 15 years old or above on or before 6th November, 2011. Parent / guardian approval is required for participants under 18. The maximum number of participants is 600.
Participants in Explorer's Route must be 3 years old or above on or before 6th November, 2011. Parent/guardian approval is required for participants under 18. A participant aged 12 or below must be accompanied by a parent/guardian. Each adult can bring along a maximum of 2 children aged 12 or below to participant in Explorer’s Route. The maximum number of participants is 400.
Corporation Cup (42KM/10KM): Only for teams representing their organizations (including government departments, corporations and registered organizations). Team names will be posted on the website of the event and newspaper advertisement as an acknowledgement after the event, a souvenir will be presented on the event day.
Elite Cup: For participants who are able to finish the 42KM race within 7 hours (must provide record in the past 3 years for certification). The maximum number of participants is 250. Excess subscription will be shifted to the Open Cup.
Participants must provide correct personal particulars, including ID/passport number. The Organizer may verify participants’ details and will take appropriate actions to protect participants’ privacy;
Each participant must provide an emergency contact person in the enrollment form. This person MUST NOT be a participant in the event.
The Organizer has already purchased a Group Personal Accident Insurance for participants between 12 and 80. The maximum amounts for death or permanent disability are: HK$300,000 for insured participants aged between 12 and 75 and HK$200,000 for those aged between 76 and 80. This Group Personal Accident Insurance is not a Travel Insurance and this policy does not cover any Chinese bonesetter expenses or any expenses incurred as a result of any minor injury. Participants should make their own decision to purchase the appropriate insurance coverage for medical, travel or other insurance.
Important Notes
“Sowers Action Challenging 12 Hours” is a physically demanding event. Participants should be well trained for the race and familiarize themselves with the routes. If necessary, suitable support and insurance should be arranged.
All participants in Explorer's Route must follow the instruction of The Organizer during the walk and must take care of the elderly and children.
Unless the enrollment is full, under no circumstances shall the enrollment fee and the received sponsorship be refunded.
Successful participants MUST collect their Participant Packs and souvenirs in the Last Briefing Section (in person or by an authorized person) by presenting the ORIGINAL Confirmation Letters. No Participant Packs will be distributed after the designated day.
Change of team member: Those who wish to change team member MUST submit the “Change Team Member Form”. This form can be downloaded from our website or requested by email/fax. The completed form must be returned via email/ fax.
i) Team leader is a key contact between the Organizer and the team, therefore changes are not acceptable.
ii) Each team is free to change its member(s) once before 16th Sept 2011.
iii) Handling fee of HK$100 per person per time will be charged for changing team members from 17th to 24th September, 2011.
iv) No change of team member will be allowed on and after 25th September, 2011.
For 42KM participants:
i) 42KM participants must arrive at Shing Mun Reservoir Checkpoint (CP4) on or before 17:00 and complete the race at Tai Po Finishing Point within 12 hours after Start. Participants who cannot reach Shing Mun Reservoir Checkpoint (CP4) or Tai Po Finishing Point within the specified time limits will be disqualified;
ii) A checkpoint will be set up at Wilson Trail mile pole W77 and helpers will stamp a chop on the number cloth of 42KM participants for verification. Participants who arrive at the Finishing Point without this stamp on the number cloth will be disqualified.
The Organizer reserves the right to terminate or cancel the event without postponement in view of adverse weather conditions and / or other unpredictable factors.
Fund Raising Award
To encourage participants to continue to support the education development in China by raising money after the activity, the Organizer offers Fund Raising Awards to those who are able to raise a specific amount of donations on or before 31st December, 2011.

“The Highest Fund Raising Award” The highest fund raiser (individual only) is awarded a trophy and a feast which sponsored by The Superstar Group. Should there be more than one person having the same highest amount, a draw will be conducted to decide the awardee.
“Fund Raising Award to Merit” The fund raiser starting from the 1st runner-up is awarded a watch which sponsored by SEIKO, number of awardees to be confirmed.
“Explorer’s Route Raising Awards” The top 3 fund raisers (individual and family division) are awarded trophies. Should there be more than one fund raiser with the same amount, a draw will be conducted to decide the awardees.
Prizes and Souvenirs
42 KM and 10 KM
For those divisions with total number of participants under 10 persons/teams, only Champion trophy will be awarded.
i) Trophies: The first three winners under each division are each awarded with a trophy;
ii) Prizes : The first three winners under each division are each presented with a prize sponsored by The Overlander;
iii) Merit medals: Under each division, winners ranked starting from 4 are given medals and the total number of awardees amounts to 20% of total participants under the division;
iv) Merit prizes: Under each division, winners ranked starting from 4 are given titanium necklaces sponsored by Phiten (HK) Limited. The total number of awardees for all divisions is 120 and the allocation among different divisions will be announced after the deadline of enrollment.
Certificates will be awarded at the Finishing Point to participants who finish the race within the time limits. Under any circumstances, participants who cannot collect the certificate on spot and wish the Organizer to send the certificate by post MUST make a donation of HK$20 to the Education Fund at the Finishing Point.
Prizes for Explorer's Route

Souvenirs
Each participant will be given a T-shirt, a water bottle or a towel etc. as souvenirs. Participants, either in person or by an authorized person, must collect the souvenirs by presenting the reply slip at the Last Briefing Section
The varieties of souvenirs will depend on sponsorships.

Submission of Donations and Sponsorship Forms
Submission of Donations
Participants can make donations by:
Cheque: Crossed cheque payable to “Sowers Action”. Please write the team leader/individual, participation no. and contact telephone no. at the back of the cheque. Send the cheque together with the Sponsorship Form to Sowers Action;
Cash: Bank of China Account No. 012-875-1144-6785 Please write the team leader/individual, participation no. and contact telephone no. on the photocopy of the deposit slip (with clear deposit bank account no., amount and deposit date). Fax the photocopy together with the Sponsorship Form to Sowers Action. Please retain the original of the deposit slip for checking by Sowers Action.
Credit Card: Participants can use Visa, Master or American Express (No handling charge for AE card) but must bear the handling charge of 3.5% per transaction. Payment forms can be downloaded from our website. Fax the completed payment form together with the Sponsorship Form to Sowers Action.
All Sponsorship Forms must reach Sowers Action on or before 31st December 2011 for issuance of official receipts.
Any participant submits the Sponsorship Form later than 31st December 2011 will receive an official receipt stating “Sponsor (name of participant) in the Sowers Action Challenging 12 Hours 2011”.
Official Receipts
Upon receipt of donations together with Sponsorship Form, Sowers Action will send an official receipt(s) by post to the team leader/individual;
Sowers Action will issue an official receipt for a donation up to HK$100 or above which is tax deductible. Please print names of sponsors;
Official receipts will be prepared according to the dates the donations received;
To reduce our operation expenses, no receipt will be issued for any donations under HK$100.
